What TallyHours is

TallyHours is software that helps organizations track pooled household volunteer-hour requirements: event sign-ups, logged hours, and the related billing math. This policy covers what we collect through the product and why.

Information we collect

• Account information: your name and email address, whether you sign in with a magic link or with Google.
• Household and participant information: household name, the names of participants (e.g. children) enrolled under a household, and a join date, entered by an adult household member.
• Activity data: events you sign up for, waitlist status, hours logged, and validation/sign-off records.
• Organization branding: a logo and colors an organization admin uploads for their organization.
• Basic technical data: standard request logs kept by our infrastructure providers for security and reliability.

What we don't collect

TallyHours calculates and displays amounts a household may owe under an organization's policy, but it does not process payments or store payment card information. Any actual payment happens outside this product, through whatever method your organization uses.

How we use it

To run the product: showing your organization's events, tracking your household's hours against its requirement, sending you email notifications you'd expect (sign-up confirmations, reminders, invites), and letting your organization's staff and admins manage their own program. We don't sell your information, and we don't use it for advertising.

Who else sees it

A few infrastructure providers process data on our behalf, under their own security commitments:

• Supabase -- hosts our database and handles authentication.
• Resend -- delivers transactional email (invites, reminders, confirmations).
• Google-- only if you choose "Continue with Google" to sign in.

Within an organization, staff and admins can see the household/event/hours data relevant to running their own program. TallyHours' platform-level staff can see organization-level metadata (name, plan, location count) for support and billing purposes only -- never household, participant, or family data.

A note on children's information

Some organizations track participants who are minors. That information (a name, tied to a household) is entered by an adult household member, not collected directly from a child, and is only visible to that organization's own staff and admins.

How long we keep it

We keep account and activity data for as long as your account is active. If you or your organization delete an account, the associated data is removed as described below.

Your rights, including deletion

You can delete your own account and its associated data at any time from your account settings. Organization admins can also delete their entire organization and all of its data. Both are permanent. If you'd rather we handle a request manually -- access, correction, export, or deletion -- email us at the address below.

Security

Data is stored with role-based access controls so that, by default, people can only see data relevant to their own organization and role. No system is perfectly secure, but we design access around that principle throughout the product.

Changes to this policy

If this policy changes in a material way, we'll update the date at the top of this page.
